Neatspace Commercial Cleaning Pty Ltd (ABN 16 696 272 652) ("Neatspace", "we", "us") respects your privacy. This policy explains what personal information we collect when you use our website or engage our services, how we use it, and the rights you have over it.
1. Introduction
Neatspace provides commercial cleaning services to businesses across Greater Sydney. We handle personal information in accordance with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). This policy applies to clients, prospective clients, job applicants, employees, contractors and website visitors.
2. Information we collect
Information you give us: name, business name, job title and ABN; contact details (email, phone, postal address); site addresses and access details for premises we clean; information you submit through our website forms - quote requests, call-back requests, contact enquiries and resource downloads (for example the type of site, suburb, preferred call time and any message); billing and payment information (processed through secure third-party providers); and communications you send us.
If you apply for a job: your name, contact details, suburb, availability, experience, right-to-work status, police check status, licence/vehicle details, any resume or documents you upload, and any other information you choose to provide. With your consent, we may conduct a National Police Check and right-to-work check before employment.
Information collected automatically: IP address, browser and device information, pages visited, time on site and referring website, and cookies or similar technologies (see section 5).
Information from others: referrals from clients or partners, and publicly available business information.
3. How we use your information
to respond to enquiries and call-back requests; prepare quotes and scopes of work; schedule and deliver cleaning services; manage access to premises; communicate about services, inspections and account matters; process payments and invoices; assess job applications and manage employment; improve our services and website; comply with legal, tax, workplace health and safety and insurance obligations; investigate incidents or complaints; and send occasional marketing only where you have opted in (you can unsubscribe at any time).
4. Sharing and disclosure
We do not sell your personal information. We share it only where needed with: our staff and approved contractors who deliver services; service providers who help us run the business (for example website hosting and database providers, email delivery, accounting, payment and scheduling software, and IT support); background-check providers (for job applicants, with consent); insurers and legal advisers in connection with claims; government or regulators where required by law; and a successor in the event of a sale or restructure of the business. Some of our service providers may store data on servers located outside Australia; where this happens we take reasonable steps to ensure the information is protected consistently with the APPs.
5. Cookies and analytics
Our website uses essential cookies so it works properly. We use Google Ads conversion tracking to measure advertising and help Google optimise ads toward successfully saved quote, contact and call-back requests. Google receives device/browser and network information, advertising cookie identifiers where available, and conversion or phone-link click events. We do not send names, email addresses, phone numbers or form contents to Google for customer matching. Careers applications and sample-scope downloads do not count as advertising conversions.
We do not load Google Ads tracking in regions requiring advertising consent, or when your region cannot be established. No advertising consent banner is shown. Elsewhere, we honour saved advertising refusals, Global Privacy Control and Do Not Track browser signals. You can opt out or withdraw permission by enabling these browser settings; they are checked before each event. You can also disable cookies in your browser settings, although some features may not work properly. Google may process information outside Australia; its privacy policy is available at https://policies.google.com/privacy.
6. Data security
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, modification or disclosure, including secure hosting, encrypted connections, restricted access to records (resumes and access details are kept in restricted storage), and staff training. If a data breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.
7. Data retention
We keep personal information only as long as we need it for the purposes above and to meet legal, tax and accounting obligations (generally up to seven years after our relationship ends). Unsuccessful job applications are kept for up to 12 months in case a suitable role comes up, unless you ask us to delete yours sooner. When information is no longer needed, we securely destroy or de-identify it.
8. Your rights
You can ask to access the personal information we hold about you, ask us to correct it, withdraw consent to marketing at any time, and make a complaint. Contact us using the details below; we'll respond within a reasonable time (generally 30 days). If you're not satisfied with our response, you can contact the OAIC at oaic.gov.au.
